The Willows HOA — Access Control

The challenge

What needed to change

The Willows HOA's pool and gym relied on separate manual keypad locks that were not synchronized. Residents shared one or two entry codes, and those codes could easily be passed along to people outside the community. Management had no centralized way to control access across both locations, and a shared code could not distinguish an authorized resident from anyone else who had learned it. The HOA needed a more accountable approach without making everyday access harder to manage.

The solution

What we delivered

Media Nexus designed and installed a ProdataKey (PDK) cloud-based access control system that brought the pool and gym together under one management account. Rather than maintaining separate locks and shared codes, property management can manage users, assign individual credentials, and organize access permissions through groups from a single interface. Schedules let the team define when each group can use the pool or gym, with separate access hours for each amenity. When residents move in, move out, or need a credential updated, management can make the change centrally instead of coordinating updates at two independent keypads.

The result

The Willows now has one place to manage access to two of its most-used amenities. Management can update an individual resident's permissions without changing a code for the entire community, while keeping pool and gym access aligned with each facility's hours. The upgrade shifts control from a shared number that can circulate beyond the neighborhood to individually managed credentials and clearly defined access rules. For the HOA, that means a more manageable system; for residents, increased security and safety through tighter control over who can enter the pool and gym — with access tied to individual authorization, not to who knows the code.
